Privacy Policy for Mike McNally Golf Coaching

Last updated: 22 October 2026

McNally Golf Ltd. will be a “controller” & “processor” of the personal information that you provide to us detailed in this policy, unless otherwise stated.

When you register, or register someone else on their behalf including a child under 18 years old, to receive golf coaching or to receive emails relating to golf coaching, we will ask you for the following personal information:

  • Contact details: name & address
  • Phone number
  • Email address
  • Payment card details
  • Age
  • Gender
  • Nature of injuries which may restrict your golf movements
  • Allergies or other information we may need to keep you or your child safe

Why we need your personal information: contractual purposes

We need to collect your personal information so that we can manage your booking, send you confirmation emails, contact you if an appointment needs to change, keep you up to date with new developments and offers, follow up on and send you details of a prior lesson, take payment, and ensure we have details required to keep you safe during your appointment.

We will therefore contact you via email or phone to make you aware of news and activities relating to future coaching and bookings.

In order to complete a sale or transaction we also need to collect your contact details and payment details.

Why we need your personal information: legitimate interest

We also process your personal information in pursuit of our legitimate interests to:

  • Promote and encourage participation in the sport of golf by sending communications about upcoming events, special offers or coaching news
  • Respond to and communicate with you regarding your questions, comments, support needs or complaints in relation to coaching with us

Where we process your personal information in pursuit of our legitimate interests, you have the right to object to us using your personal information for the above purposes. If you wish to object, please contact us at: mike@mcnallygolf.com. If we agree and comply with your objection, this may affect our ability to undertake the tasks above.

Other uses of your personal information

We may ask you if we can process your personal information for additional purposes. Where we do so, we will provide you with an additional privacy notice with information on how we will use your information for these additional purposes.

Lesson recordings and summaries

With your agreement, I record lessons so I can send you a written summary of what we worked on and your next steps in CoachNow. The recording is turned into text, and an AI tool (Claude, from Anthropic) helps me draft the summary. I check every summary before it is sent. I have switched off the setting that lets Anthropic use my conversations to train its AI models. The audio is deleted once the summary is approved. The text is kept in your client record while you are a client and for 12 months afterwards, then deleted.

Anthropic is based in the US, so your data may be processed outside the UK. Anthropic states that it protects these transfers using UK adequacy decisions or the UK-approved standard contractual clauses.

Recording is always optional and never affects your coaching. You can say no or withdraw at any time by telling me or emailing mike@mcnallygolf.com, and I will stop recording and delete your transcripts on request.

Who we share your personal information with

In order to run our website, send you emails, take online payments and schedule your appointments, we use third-party companies with expertise in these areas. These companies are “data processors” on our behalf. The companies include:

  • Squarespace: provide the website platform
  • Kit (ConvertKit): send The Sunday List and other emails you've signed up for
  • Acuity Scheduling (part of Squarespace): manage appointment booking and online payment
  • Stripe: process your online payments and hold your payment card details
  • CoachNow: used for client communication and progress tracking between lessons

If you agree to lesson recording, I also use Anthropic (Claude) to help draft your lesson summaries. On the plan I use, Anthropic handles this data under its own privacy policy rather than as a data processor on our behalf.

We may also share personal information with our professional and legal advisors for the purposes of taking advice.

Cookies

Cookies are small files stored on your device that let a website or service remember information about your visit.

Our booking and payment pages are provided by Acuity Scheduling and Stripe, embedded directly into this site. These set cookies that are strictly necessary to manage your booking session and process payment securely: for example, keeping your appointment selection as you move through checkout. These cookies don't require your consent, but we're telling you about them here for transparency.

We don't currently use any cookies for advertising, marketing, or cross-site tracking. If that changes (for example, if we add website analytics in future), we'll update this policy to reflect it, and where required by law, ask for your consent first.

You can control or delete cookies at any time through your browser settings. Blocking cookies from Acuity or Stripe may prevent the booking or payment process from working correctly.

How we protect your personal information

Your personal information as stated above is stored with the above companies' secured software on their servers. Only approved personnel have access to this information and it is not shared with any other parties.

You can find security and privacy policy details of our third-party suppliers here:

How long we keep your personal information

We will only keep your personal information for as long as necessary to provide you with our services. Unless you ask us not to, we will review and possibly delete your personal information where you have not been a customer for 3 years. Lesson transcripts are kept for a shorter time: see Lesson recordings and summaries above.

Your rights

You can exercise any of the following rights by writing to us at: mike@mcnallygolf.com

  • Request access to the personal information that we hold about you (a “subject access request”)
  • Request that we correct or complete your personal information, if you believe it's inaccurate or incomplete
  • Request that we restrict the processing of your personal information for specific purposes
  • Request that we delete your personal information
  • Withdraw your agreement to lesson recording at any time. I will stop recording from your next lesson and delete your transcripts on request.

Any requests received by McNally Golf Ltd. will be considered under applicable data protection legislation. If you remain dissatisfied, you have a right to raise a complaint with the Information Commissioner's Office at: www.ico.org.uk
